C-Arm Rental Do's and Don'ts

With most of the things people rent, the process is relatively simple. There aren't generally a lot of logistics involved in getting a movie out of the RedBox on the corner or checking out a Corolla to get from an airport to a conference center. Renting a C-arm, however, comes with a few unique considerations.

Below, we'll break down the top things to make sure you do- and don't do- once you've decided that a C-arm rental is right for you.

What to Do (and not do) When Renting a C-Arm

Give yourself as much time as possible

This isn't always easy, being that so many rental situations come up on short notice, but it is crucial. Initiate a conversation with your C-arm provider as soon as possible after learning that you may/will need to rent a C-arm. Any extra time you can get will help you avoid disruptions to your schedule  and fees for expedited shipping.

Communicate your timeline well

Standard shipping speed for a C-arm is 7-10 business days. If you start the conversation ASAP and give your C-arm provider specific dates, your C-arm can ship sooner and your provider will be able to set you up with the best shipping speed for your needs.

Know which image intensifier (II) size you need

Common II sizes include 9" and 12". Which one you'll need will depend on which type(s) of studies you intend to perform with your rental. If you have a lot of experience with C-arms, this is a detail you may know off the top of your head. If you're new to the equipment, our article on choosing the right II size should help you know what to ask for. 

Don't assume you have warranty or service coverage

Some providers cover their equipment with field service throughout the rental period. Some providers do not. Make sure you're aware of your provider's individual service terms.

Don't assume that your rental includes accessories

Lead aprons, sterile drapes, printers, and DICOM storage devices are all accessories that are commonly used with C-arms. While this is true, it should not be assumed that they will come along with your rental. Consult with your vendor on these items. Some of them may be available for rental from them as well.

Don't assume that expedited shipping is included

The safest and best way to ship a C-arm is on an air-ride van line. Standard van line shipping for something the size and weight of a C-arm runs somewhere between $500 and $1,000 depending on your location and, as we mentioned earlier, will take a week or two. Expedited shipping, on the other hand, reduces the wait to 3-5 business days and costs between $1,500 and $5,000, depending on location and exactly how fast you need your C-arm. Don't assume that this service is built into your quote.

In the Long Run

In the long run, if you've never rented a C-arm before, or are considering a provider you haven't worked with previously, the best thing you can DO is communicate quickly and clearly. DON'T hesitate to ask a lot of questions. A successful C-arm rental is built on clarity between customer and provider.
